The Role: We’re seeking a dedicated and dynamic Office Administrative Assistant to become an integral part of our team. This position will be supporting the daily operations of our fast-growing office in Omaha, NE.
In this role, you will play a key part in ensuring the smooth and efficient management of office activities. You will collaborate closely with regional managers, providing essential support to maintain a productive and positive work environment. Your responsibilities will include effective communication with customers and technicians, scheduling, dispatching, proper documentation, and managing collections within the office.

Key Responsibilities:
- Coordinate office activities and operations to ensure efficiency and adherence to company policies.
- Capture and manage customer information.
- Assist regional managers with job activity input into PSA.
- Maintain office supply inventory and place orders as needed.
- Support management in developing and refining systems and procedures.
- Oversee online reviews and assist with marketing tasks.
- Ensure the office is adequately staffed, equipped, and supplied to maintain production capacity.
- Collaborate with the accounts receivable team to manage local collections.
- Prepare business correspondence and manage scheduling.
- Conduct follow-up calls with customers.
- Handle invoicing and money collection.
- Process and type inventories accurately.
- Prepare invoices with precision and maintain documentation.
- Perform data entry using company-approved software.
- Administer human resource functions and produce timely reports.
- Schedule service vehicles and technicians.
Qualifications:
- High school diploma.
- 4-5 years of experience as an office administrator..
- Strong organizational, communication, and time-management skills.
- Proven ability to excel in a fast-paced environment.
- Positive, high-energy attitude with a resourceful and creative approach to problem-solving.
- Familiarity with office equipment (e.g., printers, fax machines, projectors).
- Proficiency in Microsoft Office, especially Excel and PowerPoint.
